Accounting export

Accounting export is the last card on Insights → Reports (/insights/reports). Pick a month and a file, then press Download. It comes with every plan.

  • The two numbers
  • How your accountant books purchases
  • Setting it up
  • Importing the file
  • When a month is ready
  • lexoffice
  • Where the detail lives
  • Cost of goods sold: what the goods you shipped that month cost you, at the weighted-average cost of each item in its warehouse. Shipments of items without a recorded cost are left out and counted on the card.
  • Stock value at the month’s end: every item’s units times its weighted-average cost, at midnight when the month ends. Units without a recorded cost are not part of it, as on Stock value.

Both come from the same records, so the file, the CSV detail and the stock value agree to the cent. Each currency gets its own lines.

Which midnight. A month ends at midnight in one time zone, which Set up names: “Months end at midnight in …”. It is fixed by whichever comes first: saving the setup, the first stock cost Floormode records (a costed receipt, for example), or the first month’s stock value. Until then it is the time zone of your oldest active warehouse that has one (a warehouse gets one when you plan its shifts or days on Team, or turn on its time clock), else UTC. A warehouse’s time zone changing later never moves a month boundary.

You choose this once.

  • As expense when bought (the usual German way): every supplier invoice is booked as an expense at once. The month then posts the stock change: the stock value at the month’s end minus the one at its start. An increase is posted to the stock account (SKR03 3980, SKR04 1140) against the stock change (SKR03 3960, SKR04 5880); a decrease the other way round.
  • To stock (Xero’s way): purchases go to the stock account. The month then posts the cost of goods sold: goods expense (SKR03 3400, SKR04 5400, Xero 310) against stock (SKR03 3980, SKR04 1140, Xero 630). Floormode does not see your supplier invoices, so any difference between your stock account and the stock value (shrink, write-offs) is shown in the CSV, not posted.

A month with nothing to post gets no posting file, only the CSV.

Open Set up on the card and answer three questions: the chart of accounts (SKR03, SKR04, Xero or your own numbers), how purchases are booked, and the two accounts that posting uses. DATEV accounts are digits of your account length (4 unless your accountant says otherwise); Xero codes are up to 10 letters or digits. Under DATEV details you can add the consultant and client numbers and the month your fiscal year starts; under Xero details, your region and the name of your zero tax rate. One line per warehouse writes a line per warehouse (in DATEV as the cost centre, in Xero as the tracking option Warehouse, which must exist in Xero).

  • DATEV: give the file (EXTF_Floormode_2026-10.csv) to your accountant. They import it in DATEV under Stapelverarbeitung → Import as a Buchungsstapel. It is one batch per month.
  • Xero: go to Accounting → Reports → Journal Report → Manual Journals → Import and choose floormode-xero-journal-2026-10.csv. The journal arrives as a draft for you or your accountant to post. Xero takes your base currency only; lines in another currency are in the CSV.
  • CSV: everything behind the numbers, one row per kind of record: the posting lines, the cost of goods sold per day and per item, and the stock value per item and warehouse at the month’s end.

A month’s file is ready once its books are complete: usually on the 2nd or 3rd of the next month, after the night that writes the last day and the month-end value. Until then the card says when. The current month offers the CSV so far; its posting comes when the month closes.

Stock values start with the month Floormode first recorded a cost change in (a costed receipt, or a shipment from stock without a cost). An earlier month has its cost of goods sold but no stock value, and the card names the month the values start with.

lexoffice (Lexware Office) cannot import bookings (Lexware help: Buchungsdaten importieren, Wie importiere ich Daten in Lexware Office?). It imports master data, bank transactions and receipts (bank2lexware). Give your accountant the DATEV file instead: lexoffice’s own output to the accountant is a DATEV export too.

Every line names its month. The records behind it are the cost of goods sold books (one part per day) and the stock value at month end book (one part per month) on the History archive card under Settings → Customer privacy: written once, checked, and kept ten years.

  • Stock value: today’s value and the weighted-average cost.
  • Reports: margin on the same cost basis.
