Team, roles & floor devices

Everyone who works in Floormode is one person on Settings → Team, however they sign in: with their Shopify staff account, with a P&H account in a normal browser tab, or with a PIN or badge on a floor device.

Settings → Team → People lists everyone, with their role, their warehouses and how they sign in.

  • Add floor person adds someone who works only on the floor. They need no email: open their page, make a PIN and, if you like, print a badge. Both are shown once, so write them down or print them then.
  • Invite emails someone a link to sign in with a P&H account, with their role and warehouses already chosen. You need a P&H account of your own to invite.
  • Shopify staff who open Floormode from the Shopify admin hold the role set under Defaults → Shopify staff start as until someone gives them another. Automatic means Admin while every connected store has been confirmed as a development store within the last seven days, and Manager otherwise.
  • Needs a role lists people who signed in with a P&H account that has no Floormode role yet. They can open nothing until someone gives them one.
  • Removed from your P&H organisation lists people who lost their access there. Deactivate them, or unlink the P&H login.

The Shopify store owner who first opens Floormode becomes its first Admin. After that, owning the store gives no extra rights: Admins give and change roles, and the team always keeps at least one active Admin. If your team ever has no Admin left, contact support.

Admin, Manager and Floor are built in and cannot be changed:

RoleMay do
AdminEverything, including integrations, customer data requests, billing, the API, stores and roles.
ManagerAll the desk work and settings, except those six. A Manager adds and invites people as Floor.
FloorFloor Mode only: pick, pack, receive, count and move stock. Every desk page sends them to Floor Mode.

To make your own role, choose New role and start from a copy of a role, or with nothing ticked; or open a role and choose Duplicate. A Lead, for example, is a copy of Floor with Approve floor exceptions (lead) and Assign and release work for others ticked.

Roles are saved in your P&H account, so changing them needs your own P&H account and a role with Create roles and give any role (Admin has it). You can give a role only permissions you hold yourself. A change shows Saving to your P&H account… until it arrives; meanwhile people with the role can do only what both versions allow.

What a role decides, and what warehouses decide

Section titled “What a role decides, and what warehouses decide”

A person’s role decides which pages and actions they can open. Their warehouses decide where they work on the floor and which tasks they can be given, not what they can see at the desk. A Manager with one warehouse still sees every warehouse’s orders on the desk; a picker with one warehouse gets only that warehouse’s work.

Settings → Team → Floor devices → Add device shows a QR code and an 8-character code. On the scanner, phone or tablet, scan the QR code, or open /floor/register and type the code. A code works once, for 10 minutes; New code replaces it. Set up for is Until removed, or Today only: the device stops working at midnight, for a temp or a borrowed phone.

DeviceWho signs in
Shared scannerAnyone in the warehouse, with their PIN or badge.
Personal phoneOnly the one person it belongs to.
Wall screenNobody: it shows the wallboard.
  • A device locks itself after a quiet spell. A new shared scanner starts with the time set under Defaults, a new personal phone with 30 minutes; change one device’s time in its settings on Floor devices. In the ⋯ menu, Lock screen or Not you? Switch person hands a shared scanner to the next person. On a personal phone, Use another phone removes it; a manager then sets up the new one.
  • After five wrong PINs a device waits 30 seconds, then longer each time. After the fourth wait, a manager unlocks it on Floor devices.
  • Under Defaults you also choose the PIN length and whether a badge alone signs in or needs the person’s PIN as well.
  • The built-in Floor role cannot open the wallboard. Tick Open the wallboard on your own copy of Floor to offer it under ⋯ on Today.

Some floor exceptions, such as shorting a line, need a lead. The lead types their own PIN on the device at that moment; a badge never approves. The lead is recorded on the line.

The Team entry in the navigation shows the day’s people and work, one warehouse at a time:

  • Today: who is here, who is away, and the work each holds right now.
  • Plan: who does what, day by day. It appears once Plan days for people is on under Settings → Team → Defaults.
  • Output: what each person did, for people whose role has See output per person. Defaults sets how many days it shows, or turns it off. It never shows on a floor device or the wallboard.
  • Shifts: the warehouse’s shifts, who works which, and the days that differ. Name the warehouse’s time zone first.
  • Time: hours from the time clock, a month per person, and every entry. Turn the time clock on per warehouse, on the warehouse’s Time clock card.
